Here at TranscribeMe, we want to ensure our customer’s satisfaction and so we have a variety of transcript formatting and editing styles to ensure you get exactly what you want.

Here is a brief overview of our transcript format and style types. We also do custom formatting, but most of our customers are happy with one of the many combinations of our product. Before we get started, here is a sample transcript that displays some of our many formatting options for perfect clarity and readability:

Content Editing

Full Verbatim 

We transcribe your text exactly as it sounds, complete with repetitions and speech errors.

Clean Verbatim 

Your text is transcribed and all filler words are removed, such as: hmm, you know, like, etc. We also clean up stutters and stammers, as well as filler words. For example: “It was, like, you know, a pretty boring experience” is changed to read: “It was a pretty boring experience.”

Edited Verbatim 

Your text is transcribed in a way that is ready for publishing. We improve grammar and tenses for better readability.

Formatting

Speaker Identification

When transcribing multiple speaker files, we can differentiate between speakers or transcribe the text as if just one person were saying the entire thing. Speaker identification is included in the price and we typically do S1, S2, S3, and so on type labels, or we can customize them to fit the speaker’s names if you speak with one of our sales representatives directly.

Timestamps

We typically produce timestamps every 2 minutes or every time that the speaker switches with another person. However, we can provide timestamps at different intervals depending on your needs.

SRT

This specialized format provides time stamps at very specific intervals. This is the format most commonly used in closed captioning and it pairs perfectly with your closed captioning software.

NVivo

This format is used to transcribe interviews that will be run through the NVivo data analysis software. Academic researchers typically use NVivo to analyze specific keywords in their qualitative research, but this format could be used by market researchers as well.

Market Research

This transcript formatting is used by market researchers, but it is not compatible with NVivo. It does not contain time stamps and specifically differentiates between the moderator of a focus group and the respondents.

Custom Formatting

Although most clients are satisfied with our selection of content editing and transcript formatting, we can also accommodate custom formatting requests. These can include specialized formatting or content editing requests.

We built the TranscribeMe app for Android and iPhone with our customers’ specific needs in mind. The app makes it easy to record and convert audio into perfectly transcribed text anywhere and allows you to complete the entire ordering process in-app as well.

While it stores your audio recordings that have been sent in to be transcribed, we’ve also made it possible to download your original recordings from the TranscribeMe app to make another backup on your computer.

Read on to find out how you can transfer your audio from the app, for both Android and iPhone.

Transfer Recordings from iPhone

1. Plug your iPhone into your computer and wait for iTunes to launch.

2. When iTunes is open, select the iPhone icon, then Apps.

3. Scroll until you find the File Sharing section, then click on TranscribeMe.

4. Audio files recorded to the TranscribeMe app have a .caf extension. Click on the name of the file you would like to save, then Save To.

7. Select where you would like to save your file on your computer and Save.

8. Head to where you saved your file. Right-click to select Open With and choose Quicktime to open your audio.

Transfer Recordings from Android

For Mac Users:

1. Download the Android File Transfer and launch. Then connect your phone to your computer via USB.

2. Access your audio recordings by going to:

Android > Data > com.transcribeme.transcriptionapp > Files

3. Locate your file based on the data/time of its creation and Save.

For PC Users:

1. If you haven’t done so already, you’ll need to enable USB mass storage.

2. After mass storage has been enabled, connect your phone to your computer. Your phone will appear as a new drive “F:” under My Computer.

3. Access your audio through:

Android > Data > com.transcribeme.transcriptionapp > Files

Currently, we only transcribe the full duration of files that are submitted to TranscribeMe. However, if you want to trim audio or video to only have a certain portion of your complete file transcribed, we recommend using tools like Audacity (for audio) and Quicktime (for video) to trim your recordings first.

Audacity is a free, trusted software for recording and editing audio. It features a useful cut, copy, and paste tool that makes editing sounds quick and easy. First, save your audio or video recording to your computer desktop.

Here’s how to use Audacity to trim your audio files: 

QuickTime is a free, easy-to-use media player and editing tool. If you’re on a Mac, QuickTime should already be available for you – just search your Applications. If you’re using a PC, you can download the free software here.

Transcription is the best way to convert your recorded audio into highly accurate, searchable and readable text. By using your voice instead of your fingers to communicate important action items, interviews, and ideas, then letting us do the heavy lifting for you, you’ll save every single detail perfectly, as well as a ton of your personal time, health, and expended energy.

How to Transcribe Audio

With an online Customer Portal and easy-access dictation smartphone app, you’ll always have access to recording and submitting audio for transcription.

Transcription Online:

1. Log in to your account. You’ll see the main homepage that allows you to upload audio/video content. You can also organize your content into folders, and download completed transcripts in a range of formats.

2. Upload your file by clicking the “Select files from my computer” button and choosing the file you wish to submit; you’ll see a real-time upload status to see where your file is during the process.

3. Once the file is uploaded, order your transcript by clicking “Transcribe.” This will take you to the Order Details page, showing you the total price and details that can be edited.

4. After verifying payment and other details, and confirming your order, you’ll receive your finished transcripts within the time specified.

Tips & Customizations

  • Trim your audio files beforehand to cut out any unnecessary bits and pieces, avoiding paying higher costs for transcribed words you may not need.
  • Enhance the quality of your audio prior to submitting the file to ensure the highest possible accuracy.

In addition to some pretty powerful mobile apps for on-the-go access, TranscribeMe provides a beautiful, user-friendly Customer Portal. Here, you can upload content, request transcripts, modify and adjust formatting preferences and more to ensure your perfect transcript is produced.

We’re here to walk you through the ins-and-outs and main functionalities of the Customer Portal to make the entire process as simple as possible for your needs.

Here’s how to navigate the Portal: 

1. Sign up or log in to your TranscribeMe account.

2. Once logged in, you’ll automatically be taken to the Portal homepage. Here is where you can upload audio and video content from your computer, Dropbox or other media-hosting sites.

3. Looking to the left-hand side of the homepage, you can also organize your uploaded content into custom folders for ease of use.

4. To begin uploading an audio file from your computer, click Select files from my computer or drag and drop it into the highlighted area surrounding the button.

After selecting a file, you’ll see its upload progress on the screen as it’s transferred to the Portal. Video files are generally larger than audio files, so they may take slightly longer to upload.

5. During the upload you can change the details for the recording, such as the name, description, source language and accent. It’s important that you select the right language and accent, as well as include any special terminology in the description box (acronyms, technical language, names, etc) for your file to ensure that your transcript is processed correctly.

6. After the file is uploaded, order your transcript by selecting the Transcribe button, or using the checkboxes and clicking Transcribe at the top of the list of recordings. This will take you to the Order Details page where you will see the total price and change any other details prior to submitting, or use the menu at the top of the page for mass orders.

When you’re satisfied with your option selections, press Continue to proceed.

Note: Show Advanced Options will display selections where you can note the content of your file (Domain), its audio quality (Noisy Audio) and our different types of verbatim available (Transcription Type).

7. Enter your billing information on the secure Payment Details page. After selecting to Continue, you will be able to verify payment details before clicking Confirm to place the order.

8. Once the transcript is completed, you’ll receive an email notification with the format ordered attached and can download the file in the format you’ve ordered (Word .doc, .pdf, HTML, or NVivo-compatible documents).

When you revisit the Portal, download your transcript by clicking Download to the right of your filename and selecting your preferred format.

9. The Filter feature makes it easy to organize your media files and transcripts. Just enter the filter criteria, and click Apply. If you would like to organize your files into folders, you can do so by following these instructions.

10. The Portal also allows you to edit your Account details at any time, including password, payment information and more. Just click through to My Account!

Typing on the computer — or other connected devices — still dominates the changing world of communication; it’s easily learned and accessible almost anywhere, but not always the most efficient way to get things done.

TranscribeMe makes managing larger transcription projects quick and simple for enterprise companies, business professionals, researchers, students and other individuals who may need quite a few pieces of media transcribed accurately at one time.

To upload and transcribe multiple audio files at the same time:

1. Sign in (or register) from the Customer Portal, and click to “Select Files.”

2. Select the first file that you would like transcribed. Then, while holding the “Shift” key, click the last file in the folder that you would like to submit.

Note: You can also hold down the “Command” key to select a few files that may not be organized right next to one another.

3. An upload window will appear for each file. Here you can adjust file names  and other details.

4. When your files have finished uploading to the Portal, they will appear in your personal list of recordings. Select the checkboxes next to ALL of the files you want to submit. Then, click the “Transcribe” button that appears above your recordings.

6. Once uploaded, you’ll be automatically taken to the Order Details page where you can finish the full process!
